Default setting for price category per user
The default setting for the price category is specified per user and can be found in the user settings.
If the selection of the price category per time entry has been activated in the settings of the work package, the default setting for the price category is automatically selected for time entries. This is usually a special case.
Standard procedure
The standard procedure is to assign the price category to a work package. When dividing the project into work packages, the work package is defined so that it contains activities that correspond exactly to one price category. Then it does not matter which user tracks time for the work package, because the price category is always that of the work package.
This works for price categories that correspond to specific activities, such as Concept and Programming, but it also works just as well if the price categories correspond to the level of experience, such as Junior and Senior.
In the latter case, the price category also has a reference to the user. This is not relevant at first, because work packages with the price category Senior are only assigned to users who have this level of experience.
However, it may not be possible to structure the work packages so clearly, and there may be work packages for which both juniors and seniors are to track time.
Price category per time entry
To do this, select the option Select when tracking time as the price category in the work package. The user who tracks time then selects the price category that applies to each time entry. For example, if the user is a senior user, they select Senior.
There is a risk that the user may accidentally select the wrong price category. To prevent this, price categories can be assigned to users here, which are then automatically preselected when tracking time.
Notes
- In the work package, the setting for the price category must be set to Select when tracking time. If a price category is specified in the work package, this setting has no effect.
- This is only a default setting. The user can change this, for example, if a senior employee is filling in for a junior employee due to time constraints and should only be billed as a junior employee.
- Existing time entries will not be changed if the setting is changed here. The setting only applies to new time entries.
- If more than one user is assigned as responsible for a work package, a price category can be specified as default for each user. This setting is always As work package, regardless of the default setting for the user.
